Defining Resource Limits

You can define resource limits to control details about your resource including:
- Availability
- Capacity
- Requests and cancellations
- Duration
- Customers and teams
- Combined resources
- No-return policies
If you want to implement different limits for different customers (members vs contacts), times of day or even for specific durations, we recommend you implement resource rules instead.
Log in to dashboard.nexudus.com if you aren't already.
- Click Inventory > Resources.
- Click on the relevant resource.
- Click on the Limits tab.
- Click on any section to open the available options.
- Edit the limits as needed.
- Repeat the process for each limit you want to apply.
Click the Save Changes button.
All set! Repeat the process for all your other resources.
Resource Limits Settings
Availability
This section lets you define when customers can book the resource.
Choose from the following:
- Always
- Mon-Fri
- Every day
- Weekends
Resources are always available by default, but you can tweak their availability schedule any way you need.
Capacity
You can define the resource's capacity in this section.
Simultaneous bookings
Select from the following options to define how many times the resource can be booked.
- This resource can be booked up to x times simultaneously.
- This resource can be booked just once at a time.
Limit the number of guests in each booking based on the capacity
Toggle on this option to automatically prevent customers and admins from adding more guests than the resource can accommodate.
Requests and cancellations
This section lets you control when bookings can be made, changed or cancelled by customers from your portal. Admins can override these limits when they make a booking for a customer.
Advanced bookings
Select how far in advance the resource can be booked.
- This resource can be booked any number of hours in advance.
- Reject bookings made more than x hours before the booking starts.
Late bookings
Select how close to the booking's start time the resource can be booked.
- This resource can be booked as close as needed to the start of its bookings.
- Reject bookings made less than x hours before the booking starts.
Late cancellations
Select when the booking can be cancelled or shortened, and define a cancellation fee for cancelled bookings.
- Bookings for this resource can be cancelled or shortened at any time before they start.
- Reject cancellations or to make bookings shorter x minutes or less before the booking starts.
- Charge a cancellation fee if bookings are cancelled or made shorter x minutes or less before the booking starts.
- Product - select the cancellation fee product from the drop-down menu.
- Type - define the total or a percentage of the cancellation fee to charge.
Bookings for this resource must always be confirmed by an administrator.
Toggle on this option to ensure bookings are always manually confirmed by an admin.
Duration
These parameters let you define how long a booking can be, the booking interval, and its start and end times.
Maximum duration
Select how long the resource can be booked for.
- Bookings for this resource can be as long as needed.
- Reject bookings longer than x minutes.
Minimum duration
Select how short the booking can be.
- Bookings for this resource can be as short as needed.
- Reject bookings shorter than x minutes.
Fixed interval
Define the length of the booking interval.
- Bookings for this resource can be made in any time interval.
- Bookings for this resource must be made in x minutes intervals.
The shortest booking interval you can define is 15 minutes.
Limit the start/end times when booking this resource
Define the booking's start and end times and how they appear to customers.
Customer and teams
This section lets you define the types of customers that can book the resource. You can also restrict specific teams and customers from other locations from booking the resource.
This resource can be booked by
Select the type of customer that can book the resource.
- All customers
- Contacts - customers without an active contract.
- Members - customers with an active contract.
Restrict the teams which can book this resource to
Select the teams you want to restrict from booking this resource using the drop-down menu.
This resource can only be booked by customers with a home location of your location name
Toggle on this option to prevent customers from locations other than your location name from booking this resource.
Combined resources
This section lets you connect the resource with other resources so they form a unit. The connected resources are blocked from being booked when combined.
This resource locks other resources when booked.
Select all the other resources you want to combine with using the drop-down menu.
No-return policies
This section lets you control how long after a booking the resource can be booked again - great for defining any time for cleaning or preparation between bookings.
Make sure you define a return policy for the resource. If you define more than one return policy, the broadest restriction will be applied first.
- Bookings for this resource don't need to be separated by a time gap.
- Bookings for this resource must be separated by a x minute time gap.
- Bookings made by the same user or team for this resource don't need to be separated by a time gap.
- Bookings made by the same user or team for this resource must be separated by a x minute time gap.
- Bookings made by the same user or team for this and any other resource don't need to be separated by a time gap.
