What are Custom Fields?
Custom fields are additional fields you create to collect data beyond the default fields available in Nexudus.
For example, if you want to know which pronouns your customers prefer using, you can create and include a custom field that lets them select she/her, he/him, they/them or any combination as an answer when they sign up.
Custom fields help you collect information that's tailored to your space's needs. There are two types of custom fields: publishable and internal.
Publishable custom fields are displayed on the Members Portal and the Admin Panel, while internal custom fields can only be accessed via the Admin Panel.
All publishable and internal custom fields are created and edited on the Admin Panel.
Publishable Custom Fields
Publishable custom fields are custom fields that you can add to any customer record and include in Members Portal forms. They can help you collect and gather data to answer your space's specific needs.
For example, you could add a publishable custom field to know your customers' preferred pronouns or name and add it to the Signup and Tour forms.
How They Work
You create publishable custom fields by selecting the Customer (publishable) option. You can then choose where you want to include your custom field in customer records. Customers fill out the custom fields and you can gather data that's relevant to your space and not covered in the standard forms provided for the Members Portal.
They will automatically be available in every location within the network.
Where You Can Find Them
You can find publishable custom fields in the customer record section defined in the custom field.
For example, if you create a publishable custom field for a customer and decide to include it in the Notes section.
You will be able to find this field in each customer's account in the Notes section under the CRM tab.
Where You Can Use Them
You can use public custom fields in the following Members Portal forms:
- Signup form
- Profile form
- Tour Request form
You also can include publishable custom field in any document template or message macro you generate through their corresponding tokens.
Internal Custom Fields
Internal custom fields are custom fields meant to help your space and its admins collect additional data on the following records in Nexudus:
- Bookings
- Contracts
- CRM opportunities
- Customers (internal)
- Equipment
- Floor plans
- Floor plan items
- Help desk departments
- Help desk messages
- Invoices
- Locations
- Plans
- Products
- Proposals
- Resources
- Teams
- Visitors
How They Work
You create a custom field that's linked to a specific Nexudus record. This internal custom field will automatically be added to its own section in the relevant records.
Where You Can Find Them
All internal custom fields are available in each relevant record on the Admin Panel.
If a record type has multiple internal custom fields, they're automatically grouped together. Internal custom fields that you link to specific sections of the platform automatically show there, from first to last created.
For example, Invoice custom fields are also visible on invoice previews on the Admin Panel.
Where You Can Use Them
You can use internal custom fields in Nexudus Explore or export them to use them outside of Nexudus by exporting the connected records.
For example, if you created an internal custom field for opportunities, all you need to do to collect this field's data is export your opportunities. Your internal field will have its own column in the export file.
Including Custom Fields in Message Macros & Document Templates
You can leverage the data of your custom fields to customize message macros and document templates. Each public custom field is named Custom followed by its Internal Index number that you can find in every custom field record page. Each internal custom field is named as you added them.
