What are late cancellation fees?

Late cancellation fees are a fee you can automatically charge customers when they cancel their bookings at the last minute. This charge can be a percentage of their booking's total price or a flat fee. You can also define the late cancellation time frame in days, hours, or minutes.

For example, charge 50% of the booking's price or $200 if customers cancel their booking for conference rooms less than 72 hours in advance.

Late cancellation fees are a great way to let customers cancel their bookings last minute while also accounting for the potential revenue loss it represents for your space.

How late cancellation fees work

You define the cancellation fee in each resource you make available for customers to book in two simple steps:

  1. Create a late cancellation fee product
  2. Add late cancellation fees to the relevant resources customers can book

You can add booking cancellation fees to any of your resources in one of two ways:

Single late cancellation fee

This option is ideal if you want to:

  • Charge all customers the same fee when they cancel at the last minute
  • Have the same cut-off time for all customers

Multiple late cancellation fees

This option is ideal if you want to:

  • Charge different fees based on whether customers are contacts, members, or members on specific plans
  • Apply different fees based on when the booking cancellation is made
    For example, charge customers 25% of the booking's price if they cancel 48 hours before its start and 50 of the booking if they cancel less than 48 hours in advance.

Can I have a single late cancellation fee for one resource and multiple ones for another resource?

Yes, different resources can have different late cancellation fee. Just remember that single late cancellation fees are set up in each resource's Limits tab while multiple ones are set up in the Rules tab.
