Passport has been rebuilt! The new version starts rolling out on 14 August 2026 and arrives automatically through the App Store and Google Play over the following few weeks.
You don't need to install anything, migrate anything, or ask your members to do anything.
On a branded (white-label) app?
This rollout doesn't include you. Branded apps are Phase Two, and we'll be in touch before yours moves. Carry on managing your app exactly as you do today.
Nothing breaks
The things members worry about are the things that don't change:
- Accounts and logins, including SSO, remain the same so nobody needs to create a new account.
- Existing bookings all carry over
- Memberships, plans and contracts are kept the same
- Stored payment details don't change
- Access control integrations run exactly as before
- Your branding and member data aligned with your Members Portal
The rollout is gradual, so your members won't all update on the same day. Both versions work throughout, and members on the old app carry on as normal until their update arrives.
What you get
Passport and the Members Portal now run on the same foundation. New releses and improvements land on web and mobile together, so you stop maintaining two member experiences with two different feature sets.
| What's new | What it's worth to you |
|---|---|
| E-commerce buying experience | Products and add-ons sit in a browsable storefront instead of buried in a menu, giving you more surface area for ancillary revenue. |
| Faster bookings and payments | Fewer abandoned bookings. Checkout friction is the most common reason a member gives up and asks your front desk instead |
| AI that guides bookings and answers questions | Routine "how do I book the big room?" questions stop landing on your community team |
| Self-service payment management | Members update their own cards for fewer failed payments and less admin at renewal |
| Push notifications and quick actions | Better event attendance and fewer no-shows, without another email. |
| One place for branding and pages | Update every location at once instead of location by location |
What changes for you
One thing genuinely changes on your side: where you manage the app.
Passport used to be configured on its own, under Settings → Companion apps → Passport, location by location. Now branding, pages and shared settings live in one place and apply across both the Members Portal and Passport.
That's why some familiar settings won't be where you left them. Nothing has been taken away, it's just been consolidated.
If you run multiple locations
Consolidation is the point here, you can now update everywhere at once. But if your locations are deliberately different, with their own custom pages, colours or enabled sections, check that those differences are preserved before your rollout arrives.
If you take payments through another gateway
In-app invoice payment has always needed Spreedly, Xero, Stripe Checkout or a hosted payment page. Members on any other gateway had to use the Members Portal instead.
The new upfront payment and e-commerce flows may change what's supported.
If you're on an older Members Portal
You still get the new Passport, and your branding, settings and member data stay as they are. Your portal is untouched. When you're ready to move to the new Members Portal, Passport will already be aligned with it.
What to do before August 21st
-
Record what you have now
Screenshot or export your Passport settings for every location, enabled sections, home page tiles, colours, fonts. This is how you'll check everything carried across afterwards in ten minutes or less. -
Note your custom page details
Title, URL, icon, shared secret, and whether it's featured on the home page. -
Check your payment gateway
If you don't use Spreedly, Xero, Stripe Checkout or a hosted payment page. -
Brief your front-of-house and community team
The app looks significantly different, and your team are the first people members will ask. They should see the new experience before members do. -
Audit your own materials.
Welcome emails, onboarding decks, member handbooks, tour scripts, your website, internal help content. Make sure that anything showing Passport screenshots or describing the old navigation is refreshed by the time you update. This is the item spaces most often miss. -
Send your members an email
Optional, but it's the difference between a smooth week and a busy front desk. A template is ready for you in the Passport Lounge.
Once your space has updated
Check your settings carried across against the record you made.
Test your custom page to ensure they are displayed properly.
Check your branding on both the Members Portal and Passport.
Confirm GA4 is still tracking, if you use it.
Decide your payment defaults
Members can now pay upfront or add to their account and pay later. Choose which you want as the default for bookings and for products.
Refresh your materials with new screenshots.
Watch your support queue for a fortnight. Repeat questions usually point to a gap in your comms rather than a fault.
Telling your members
You don't have to, but we'd recommend a short message a few days ahead does most of the work for you.
Cover three things:
- The app is getting a major update, automatically.
- Nothing on their account changes, bookings, membership and payment details all carry over.
- What they get: faster booking and payment, biometric sign-in, QR check-in, notifications.
Set expectations on timing too. Because the rollout is staged, members will update on different days to their colleagues. Saying so upfront heads off the most common question during a release like this.
A ready-made template is available in the Passport Lounge.
Questions we get asked
Can you tell me the exact date my app will update?
No. App updates are released in stages, and availability varies by device and app store.
Will Passport change dramatically?
It will look very different. It's been built to be as intuitive as possible, with new features that give you more control and give members a much easier way to discover, book and pay.
Can I delay the update?
No. The rollout is automatic and happens gradually over several weeks.
Is anything going away?
Settings have moved rather than disappeared. Instead of managing the app separately, you manage branding, pages and shared settings in one place, and changes apply across both the Members Portal and Passport where relevant, including across all your locations at once.
How will members book and buy?
Passport now works as a proper storefront. Members can browse, book and pay however you want them to: pay upfront and be invoiced later, or add items to their account and settle later.
