Legal terms and policies settings

The Settings > Legal terms and policies  settings page lets you define the legal terms and policies that your customers must accept to use your services.

Always make sure your legal terms and policies comply with your local laws and regulations.

General terms

This tab lets you define your space's general terms and conditions. All customers must accept them to use your services.

You can use our built-in editor to format your content or use Markdown. You can easily check what the content will look like for customers by clicking on the Preview button.

Customers don't receive notifications when you update your general terms and conditions.

Instead, they are prompted to accept them the next time they log in to your Members Portal or the Passport app.

Your customers can access your General terms at any point from your Members Portal footer.

Visitor terms

This tab lets you define the terms and conditions registered visitors must agree to prior to checking in.

You can use our built-in editor to format your content or use Markdown. You can easily check what the content will look like for visitors by clicking on the Preview button.

Visitors who haven't accepted the terms through the link provided in their registration confirmation email won't be able to check in.

If you allow visitor self-registration through NexIO, visitors registering themselves are automatically prompted to accept your visitor terms.

Checkout terms

This tab lets you define your space's checkout terms and conditions. All customers must accept them to make bookings, sign up for plans, or purchase products or event tickets in the Members Portal.

All customer checkouts require them to agree to your terms, even if their purchase is free, discounted, or paid using credits.

You can use our built-in editor to format your content or use Markdown. You can easily check what the content will look like for customers by clicking on the Preview button.

You choose how customers accept your checkout terms.

Explicitly requires customers tick a checkbox to agree to the terms. They cannot complete their purchase if they don't tick the checkbox.

Implicitly displays a notice explaining that clicking on Complete purchase means customers agree to the terms.

Data Privacy policy

This tab lets you define the data privacy policy for your location. Your data privacy policy is a statement that discloses how your business gathers, uses, discloses, and manages customer data.

You can use our built-in editor to format your content or use Markdown. You can easily check what the content will look like for users by clicking on the Preview button.

Your Data privacy policy is accessible from your Members Portal footer by default.

Cookies policy

This tab lets you define the Members Portal cookies policy for your location. Your cookies policy should list the cookies you use on your Members Portal and information on how you process the personal data of users visiting your Members Portal.

Version history for legal terms and policies

All terms and policies are version-controlled to ensure business transparency and legal clarity.

Version history applies from May 2025.

Terms and policies created or accepted prior to this date won't show in the version history, but can be traced back using logs.
